PricewaterhouseCoopers is one of Australia’s largest professional services organisations employing almost 5000 people in nine cities nationally. Their clients include 90 of the ASX top 100 listed companies as well as many federal and state government agencies.
PricewaterhouseCoopers was undergoing extensive internal restructuring over an 18 month period. This impacted on approximately 4500 staff and multiple departments, across both Victoria and New South Wales. With a relocation affecting such a large number of highly paid professionals, it was imperative that disruption was minimal and did not prevent consultants meeting tight deadlines and remaining billable.
The pivotal component in this relocation was a comprehensive strategic plan. Atlantis appointed a full-time Strategic Planner and Project Manager in each state to investigate interdependencies and potential risks. A transition strategy was developed which itemised all tasks, resources, milestones and deadlines to be achieved.
Comprehensive analysis was conducted to ensure existing furniture, fittings and filing systems were suitable for the new location(s) and detailed databases were established to manage each staff member’s general and specialised requirements.
Additional tenders and contractors were required to complete the project. Working closely with PricewaterhouseCoopers, Atlantis coordinated tender documentation, managed the selection process and supervised contractors.
A raft of communication initiatives were built into the project. Regular meetings were scheduled with PwC management and contractors. Preliminary plans were distributed to all personnel. Staff workshops were conducted and personalised move instructions were distributed to the workforce.
The Atlantis Assist help desk was established to provide support through to the post-relocation phase. Issues were logged into the system allowing ease of reporting, tracking and resolution.
Atlantis’ planning and execution ensured disruption was kept to a minimum. The relocations were scheduled to occur during the evenings and over weekends so the work environment was fully operational when staff returned to work. Both projects were successfully completed on schedule and within budget, but most importantly, with the least possible disruption to PricewaterhouseCoopers’ clients, staff and business operations.
